Role Overview

We are seeking a highly professional, resourceful, and discreet Personal Assistant to support the Chief Operating Officer (COO) in managing daily operations, strategic coordination, executive communication, and stakeholder engagements.

This role requires a highly organized, proactive, and detail-oriented individual who can thrive in a fast-paced environment involving senior management, government stakeholders, business partners, consultants, and internal teams.

Key Responsibilities
  • Provide full-spectrum executive and administrative support to the COO.
  • Manage the COO’s calendar, appointments, meetings, and travel arrangements.
  • Coordinate all meetings, including the preparation of agendas, presentation, and meeting minutes.
  • Draft, review, and manage professional correspondence, emails, reports, and official documents.
  • Liaise and follow up with internal departments, consultants, agencies, contractors, bankers, and etc.
  • Organize corporate events, management meetings, client engagements, and VIP hospitality arrangements.
  • Handle confidential documents and sensitive information with discretion and professionalism.
  • Monitor task progress, deadlines, and action items on behalf of the COO.
  • Attend meetings with the COO when required and provide administrative follow-through.
Requirements
  • Diploma or Bachelor's Degree in Business Administration, Management, Communications, or a related field.
  • Minimum 2–5 years of experience as a Personal Assistant, Executive Assistant.
  • Excellent command of English. Proficiency in Chinese will be an added advantage.
  • Strong organizational, multitasking, and time-management skills.
  • Good interpersonal and communication skills, with strong business etiquette.
  • High level of integrity, confidentiality, and attention to detail.
  • Proficient in Microsoft Office, Google Workspace, and presentation preparation.
  • Possess own transport and be willing to travel when required.
