Job Requirements
  • Diploma or Degree in Logistics, Supply Chain Management, Business Administration, International Trade, Project Management, or any related field.
  • Minimum 2 to 5 years of working experience in logistics, import/export, trading, procurement, project coordination, or supply chain operations.
  • Good understanding of importation processes, shipping arrangements, customs clearance, warehousing, and delivery coordination.
  • Familiarity with shipping and trade documents such as commercial invoice, packing list, bill of lading, delivery order, permit application, customs declaration, and related import/export documents.
  • Able to prepare costing, compare supplier quotations, analyse expenses, and monitor project budgets.
  • Strong coordination and follow-up skills, with the ability to manage multiple projects and deadlines at the same time.
  • Good communication and negotiation skills when dealing with clients, suppliers, forwarders, shipping agents, and internal teams.
  • Able to work independently, take ownership of assigned tasks, and solve problems with minimal supervision.
  • Detail-oriented, organised, and able to maintain proper documentation and records.
  • Proficient in Microsoft Excel, Word, PowerPoint, and basic reporting tools.
  • Able to communicate in English, Mandarin, and Bahasa Malaysia will be an added advantage.
  • Experience in sourcing products from overseas suppliers, especially China or other Asian markets, will be an added advantage.
  • Knowledge of project management tools, costing templates, logistics systems, or ERP systems will be an added advantage.
  • Mature, responsible, and able to work under pressure in a fast-paced trading and importation environment.
Job Responsibilities
  • Develop and execute project plans, timelines, and budgets for assigned projects, ensuring alignment with company objectives and client expectations.
  • Manage assigned projects from planning to completion, including sourcing, procurement, costing, logistics coordination, documentation, delivery, and reporting.
  • Serve as the main point of contact for clients, understand their requirements, provide project updates, and ensure timely follow-up on all project matters.
  • Source and procure products, materials, and services required for assigned projects while ensuring quality, cost-effectiveness, and timely delivery.
  • Liaise with vendors, suppliers, forwarders, shipping agents, warehouses, and other relevant parties to ensure smooth project execution.
  • Coordinate importation and logistics arrangements, including shipping schedules, customs clearance, warehousing, delivery planning, and related documentation.
  • Prepare and check relevant shipping and import/export documents, including invoices, packing lists, bills of lading, delivery orders, permits, customs documents, and other supporting documents where required.
  • Monitor vendor performance, negotiate pricing and terms, and maintain strong supplier relationships to ensure reliable supply and competitive costs.
  • Prepare project costing, budget tracking, and cost comparison analysis to support management decision-making.
  • Monitor project expenditure, track budget variances, and implement cost-control measures to maintain profitability.
  • Communicate effectively with internal teams, clients, vendors, and logistics partners to resolve issues and ensure smooth coordination.
  • Track project progress, identify potential risks or delays, and take necessary actions to minimise disruption.
  • Prepare project reports, management updates, presentations, and documentation relating to project status, costs, timelines, issues, and key outcomes.
